RoomManager touch offers you the possibility to configure your meeting room screen with the touch version of RoomManager.
This version allows you to create and cancel meetings directly on the screen with no need to use a computer.
It also obliges you to confirm meeting assistance once you get to the room. Just by pressing the confirmation button, the meeting will be confirmed. If a meeting hasn’t been confirmed for 10 minutes by any of the assistants, the room becomes available.
This is how RoomManager Touch will look on your room screen:
Initial RoomManager Setup
Once your RoomManager license is activated, connect the screen, or screens, to the internet. Run RoomManager’s application and enter your project’s URL project.posterdigitalhq.com
Once this step is completed, from your browser, go to the RoomManager tool: project.posterdigitalhq.com
The tool will guide you step by step through the process of creating a room, connected to its calendar. After completing these steps, your screen will display the entire agenda for that room.
Enter RoomManager using your credentials:
Identify your screen from the list on the left
Connect to the Google account where your calendar resides
Log in to the account you will be using, providing your username and password.
Please allow Google calendar to view your calendar
On this step you will give the screens a comprehensive name to each room and connect them to the correspondent calendar.
Also, on this step, you will choose your Touch screens and assign them this functionality.
Choose the times when the screen will be ON, showing appointments
Upload your own logo. The recommended size of the logo is: 450px x 120px
Once your logo is set, click on Save and go back to the dashboard
Editing RoomManager’s configuration
From the tool’s dashboard, you can change your screens calendar and configuration and you can also add or remove the users how to manage the tool.
Going with the mouse over the screen name, you will see some action buttons next to it:
Reload: This button will reload and refresh the content on the screen
Reboot: If you click here, the screen will reboot.Please note that this might take a couple of minutes.
Bin: Remove this screen from RoomManager
From here, you can change the calendar associated with each screen.
You can also change the room name from this screen.
How do I see appointments on the screen?
In order to show the events, meetings or appointments happening on your room screen, you just need to book a time slot using that calendar.
How can I change the logo on my screens?
You can easily change the logo that appears on your screens by going to the dashboard and click on the pencil icon next to the current logo:
Click on “Select file” in order to upload your new logo. You can also use the default RoomManager logo by clicking on “Use Default Logo”.
Once you’ve made your changes, click on “Save”.

Change ON / OFF Times
Also, from the Dashboard, you can modify the days and the times when your screen are ON. Press on the pencil icon under settings.
Choose the new days and times and click on save. This change affects all screens’ ON and OFF configuration.
Using RoomManager Touch on your screen
Creating an event
You can create a new event by pressing the “+” button next to a time slot:
Enter the event length, the name of the host or organiser and the name of the meeting:
Then press on “Save”.
The new meeting will be shown on the schedule:
Confirming a meeting
With this new touch feature, RoomManager requests confirmation upon meeting start time.
Five minutes before the event start, there will be a message on the screen that requests confirmation of the meeting. This message will appear for 10 minutes from the start time of the event.
This way, the host or an attendant confirms that the event is really happening and that the room is really busy. If no one confirms the event going on the room, the room will become available after 10 minutes.
These times can be configured on a project basis. If you think you should allow more time to confirm, this can be changed to the preferred time.
When you press “Yes”, the event will be shown as “On time” and the room will become “Busy”
If nobody confirms or if you cancel the event:
The room will become available
Reporting facilities incidents
If you detect there is a problem with the room state: Air conditioning not working, the projector is not working, the lights don’t switch on, etc… you can report it directly from the room’s screen.
In order to do so, just press on the exclamation mark at the bottom left of the screen:
Choose one or more options and press the “Report issue” button. An email with the reported items will be sent to the person responsible for the room facilities (this email address must be set up in advance by PosterDigital).
Once you press “Report Issue” the screen will go back to its normal state:
With this new RoomManager version comes the tab “Statistics” at the top of your dashboard:
On the Statistics screen you can see usage metrics based on the use of your screens:
From this screen you can also download your metrics using a PDF or an Excel format:
